Exhibit at the Boroondara Volunteer Expo

About the Expo

The Boroondara Volunteer Resource Centre (BVRC) is seeking expressions of interest for organisations to exhibit at the 2025 Boroondara Volunteer Expo, to be held on Wednesday 19 March 2025, 1pm – 5pm.

At this free event, volunteer-involving organisations have the opportunity to connect with people looking for opportunities to volunteer with community organisations.

Expressions of interest for your organisation to participate will close on Friday 14 February 2025. First round offers to participate will be made before Friday 21 February 2025.

Eligibility criteria

To be eligible your organisation must:
- Be a member of the BVRC. (free to join)
- Have valid personal accident and public liability insurance covering volunteers.
- Not promote volunteer opportunities which lobby the local, state or federal governments about particular laws, policies, practices or decisions of governments.
- Not be looking to gain members as opposed to volunteers.
Before you begin:

It takes about 5 minutes to complete this form and you will need to:
- Tell us your name, suburb, phone number and email address.
- Provide your organisation’s information, insurance details and logo.
- Agree to our Volunteer Expo Agreement.
After you complete this form:
- We will send you an email to confirm we have received your expression of interest.
- We may contact you to seek additional information about your organisation, your volunteering opportunities, and your representatives at the Volunteer Expo.
- Once expressions of interest close, the Boroondara Volunteer Resource Centre team will assess all expressions of interest and rank organisations against the Exhibitor Selection Criteria.
- By Friday 21 February 2025, we will confirm via email whether you will be offered a place at the Expo or placed on the waitlist.
- Organisations participating in the Expo will be provided additional information about the event closer to the date.
What happens with your information?

We record your information on our customer database and make it available to relevant Council staff in line with City of Boroondara’s Privacy Statement.

The contact details you provide to Council may be used by Council to contact you in relation to other Council functions and services.

Volunteer Expo Agreement * Required
If your organisation is offered a place at the Boroondara Volunteer Expo 2025 you are required to agree to the following terms:
This agreement is between the Boroondara Volunteer Resource Centre (BVRC) and Volunteer Expo exhibitors. It is intended to result in a safe and enjoyable event for all. If you have a question about any of the items below, please contact the Boroondara Volunteer Resource Centre on 9278 4550 or bvrc@boroondara.vic.gov.au.

The BVRC will:
- Promote the event to prospective volunteers through a range of City of Boroondara channels, including the Boroondara Bulletin, social media, and partnerships with local organisations.
- Provide a welcoming space for prospective volunteers and exhibitors.
- Provide a stall consisting of a table, 2 chairs, and a tablecloth.
- Provide access to power where this has been requested and agreed.
You will:
- Be a member of the Boroondara Volunteer Resource Centre - if you’re not a member, you can join here (membership is free.)
- Promote your participation in the event to your networks, including prospective volunteers.
- Ensure your volunteer organisation has current public liability and personal accident insurances, with a specific clause mentioning volunteers.
- Consider extending your existing property insurance policy to cover loss of stock and display equipment in the event of theft or damage at the event
- Display materials including banners, promotional materials and specific information on volunteering opportunities - excluding materials for fundraising purposes.
- Ensure that any electronic equipment you bring has been tested and labelled accordingly.
- Be responsible for your organisation’s belongings, including banners and promotional materials and remove any rubbish your exhibitor table has accumulated.
- Participate in the Volunteer Expo from 1pm until 5pm - pack-down will only be possible after 5pm.
- Follow our safety guidelines, including reporting all incidents or near misses to Hawthorn Arts Centre or BVRC staff and adhere to the emergency evacuation procedures
- Advise us of the dietary and access requirements of your representatives.
